## About us
Ktizo Labs is a small software development and email marketing agency based in Lithuania, working with international clients. We are the founder plus a team of about 4 freelancers: developers, a designer, an HTML email developer, and a project assistant. Our work spans custom web development, email campaigns (SendGrid), and technical consulting.
The founder currently runs all operations and client communication personally. We are hiring the person who will take that over.
## The role
This is not a coordination job. You will own delivery outcomes, not just pass messages between people. Our current team is good at executing what they are asked to do — your job is to define what "done" means, verify it is actually done, and make sure nothing reaches a client unchecked. The founder remains the primary relationship holder with clients; you keep the projects moving underneath that.
Concretely, you will:
1. Handle routine delivery communication with clients in written English — status updates, clarifications, scheduling, handoffs. Strategic and relationship-level communication stays with the founder.
2. Coordinate our freelancers: assign work, set deadlines, unblock people, follow through without being chased, manage Kanban boards well.
3. Manage client WordPress sites hands-on: build new page sections out of existing elements, edit and update content, and handle routine site management — plugins, updates, users, backups.
4. Run email campaigns in SendGrid, including making small edits directly in HTML email code.
5. Perform final QA on everything before it reaches a client: websites, emails, social posts, designs. You are the last line of defense.
6. Handle hosting and infrastructure basics on Cloudways and Cloudflare — DNS records, deployments, small fixes.
7. Make small edits in Figma yourself, so minor changes go back to the client fast instead of waiting on the designer.
8. Verify scheduled social posts (LinkedIn, Instagram, Facebook) go out on the right account, at the right time, with zero typos.
9. Use AI tools as a daily working instrument to figure things out, draft, debug, and check your own work.
10. Build and maintain the checklists and SOPs that make all of the above repeatable.
## Who we are looking for
1. Proven detail obsession. Not "I'm a perfectionist" — we want to hear about the actual systems you have built for yourself to catch errors before anyone else sees them.
2. Ownership. When something is ambiguous, you ask before you guess. When something ships with a mistake, you change your process, not just apologize.
3. Excellent English. You will represent us to clients daily.
4. Digital agency experience, including with U.S. clients. You have juggled multiple clients and freelancers before, you know what falls through the cracks, and you understand the responsiveness, tone, and service standard that American clients expect.
5. Technical comfort. You can read and lightly edit HTML/CSS, navigate hosting panels and DNS without fear, and learn a new tool in days, not months.
6. Genuine AI fluency. You already use Claude, ChatGPT, or similar tools seriously in your work, and can show it.
Nice to have (not required): Google Analytics 4, Meta ads familiarity, Vibe coding
## Practical details
1. Starting scope: Part-time to begin [PLACEHOLDER — e.g., 15–20 hrs/week], with availability overlapping European business hours (EET) and sometimes EST.
2. Process: Short interview → paid trial project (1–2 days of realistic work, including a QA task) → part-time engagement → full-time as the collaboration proves itself.
## Where this goes
Our intention is for this to become a full-time role. We're hiring someone to grow into effectively running the agency's operations — and as you take on more responsibility, your skills and your pay grow with it. We deliberately aren't promising timelines or numbers up front: the pace depends entirely on how well we work together. But the direction is real, and we're looking for someone who wants that trajectory, not just another gig.
